Project Administrator

At ILX we're looking for a Project Administrator to join our Product Management team, as we grow our product portfolio.

What are we looking for?

The successful candidate will demonstrate a wide range of skills in order to create, maintain and evolve the ILX product portfolio. This is a diverse role that requires you to work closely with internal stakeholders, suppliers and customers.

What will you be doing?

This is a hands-on role, and you will be required to develop a deep understanding of our products and solutions, and to work with all teams within the business in the setup and maintenance of new and existing products. The successful candidate will demonstrate success in the role by balancing the management of day-to-day requests with their own personal objectives to deliver projects on time and to budget.

Key responsibilities

  • Manage the process for new product setup which involves working with numerous stakeholders from external suppliers through to internal departments, including: Finance, Business Systems, Operations, Marketing and Sales
  • Maintenance of existing ILX products, including updates to the website, internal systems and communications to trainers and the sales team
  • Quality review standard course content across the company, ensuring consistency between products and legal obligations are met
  • Liaise directly with all external accreditation bodies, examination institutes and IP owners
  • Staying current with latest accreditation standards and updates from IP owners
  • Contributing fully to the overall development of the ILX business
  • Undertake other tasks and duties as required

Who will you be interacting with?


Typical interaction

Best Practice Manager

Setting objectives, product development plans and ongoing improvement projects. Scoping requirements and associated project plans.

Product Development Manager

Providing support in the development and maintenance of new/existing products.


Day-to-day user support, including answering questions, providing updates on changes and training on new products.

Third-party suppliers

Relationship management to stay abreast of product updates and new releases.


Providing 2nd line support on product queries that need to be escalated to Examining institutes or IP owners

Desired skills and experience

The ideal candidate will have a background in or experience of a Project Management environment and knowledge of the Project Management training industry. You must have good attention to detail, and it would be advantageous to be familiar with content management systems.

Good to have:

  • Experience working in a project environment where focus is in delivering to schedule, budget and to a high quality

  • Previous experience of working for a commercial training company would be advantageous

We have a new opportunity for an IT Project Manager to join our team as ILX accelerate the Digital transformation of the experiences and services we deliver to our clients.

The successful candidate will combine Project Management skills with stakeholder and 3rd party supplier management experience to deliver the roadmap of projects that are key the future strategy and continues growth of ILX.

About this role

Your primary responsibility will be working with different areas of the business to implement our IT and Digital transformation projects. The role will involve running multiple projects and owning the end-to-end delivery of the projects. You will be working closely our 3rd party suppliers, managing technical and commercial expectations both internally and externally as well as working at a technical level to ensure the technology and its implementation is fit for purpose.

Key responsibilities

  • Provide end-to-end project management.
  • Scope project requirements and prepare budget.
  • Plan work and set deadlines to meet the agreed needs.
  • Develop detailed project plans and monitor progress.
  • Work closely with and manage external suppliers to plan and execute project deliverables.
  • Track issues from reporting through to delivery and manage change requests.
  • Manage external and internal expectations for delivery deadlines.
  • Deliver projects on time ensuring quality standards are met.
  • Develop support documentation including risk logs and requirement specifications.
  • Communicate project plans to the wider business and get buy-in.
  • Monitor and report on project progress.
  • Present to stakeholders reports on progress as well as problems and solutions.
  • Highlight potential risks or malfunctions and act proactively to resolve issues.
  • Seek opportunities for improvements to the technology and work with the business to identify new areas of development.
  • Keep up to date with project management innovations and latest web technologies.
  • Develop and manage knowledge of IT project management across the business.
  • Undertake other tasks and duties as required

Essential Skills

  • Proven work experience as a project manager in a technical environment (8 yrs+).
  • Demonstrable experience of running multiple, concurrent IT projects.
  • Hands on experience with project management software, such as MS Project.
  • Experience with external software developers.
  • Experience of running Agile software development projects.
  • Good communications skills, with customers, teams, and stakeholders.
  • Business & IT strategy experience.
  • Customer-focused mindset.
  • Experience with QA practices.
  • Experience with web development and web technologies.
  • Excellent organization and time management skills.

Desirable Skills / experiences

  • Prior experience in an IT Management/support position desirable
  • Any experience within the training sector would be beneficial.
  • Prior experience of Learning Management Systems or Learning platforms would be advantageous
